Ricoh Enhances Document Management with AI Technology from natif.ai

The DocuWare cloud application enhances efficiency and drives paperless operations by centralizing document management and automating workflows. Since 2024, Ricoh has further strengthened the platform with artificial intelligence (AI) technology from natif.ai. To explore how Ricoh is shaping the future of work through the ongoing evolution of DocuWare, we spoke with key figures from the company.

Eliminating the inefficiencies of paper documents in corporate settings

Kazuhiro Tsuruta, Director of Process Automation Business Promotion, shared insights on corporate document management. He stated, ‘Japan lags the rest of the world in digital transformation. Just 50% of companies here have embraced digital processes.’ Tsuruta emphasized that workplaces still rely heavily on paper documents, stressing the need for digital adoption to enhance productivity and employee engagement.

Ryuta Aomori from the Engineering Group expressed confidence in Ricoh’s ability to support businesses. He noted, ‘Ricoh has long supported businesses with multifunction printers and scanning services, enabling tailored solutions for integrating scanned documents into workflows.’

Tailoring process automation to customers’ unique challenges

DocuWare assists over 19,000 companies worldwide by managing digital documents and automating workflows. It’s particularly useful for small to medium-sized businesses, allowing them to digitize purchase orders and invoices.

Tsuruta explained that many companies still manually enter documents received via fax or post, but DocuWare automates this process, streamlining workflows for better efficiency.

A platform that streamlines all corporate document management

DocuWare is flexible and adapts to diverse needs by recalibrating settings rather than adding features. This adaptability allows it to support the operations of entire companies, not just departments.

Aomori noted, ‘When customers start using DocuWare for a specific type of document, they often realize its potential for other tasks and expand its use to other departments.’

Breaking through the digital barrier with paper-like user interfaces

DocuWare’s user interface is designed to resemble handling paper documents, making it easy to implement even in sites resisting digital transformation. Tsuruta mentioned, ‘Unlike conventional AI OCR solutions, DocuWare’s AI continuously learns from real-world usage.’ This innovative approach increases accuracy and reduces the manual effort required.

Intelligent Document Processing further enhances document recognition

With enhancements to DocuWare’s OCR capabilities, Ricoh aims to significantly increase the accuracy of document recognition and automate sorting processes.

DocuWare and natif.ai, now part of the Ricoh Group, are working together to shape the future of work

Ricoh acquired DocuWare in 2019 and natif.ai in 2024, indicating a strategic push towards integrating AI into its services. Aoki highlighted that bringing advanced AI technology into Ricoh’s offerings marks a significant transition from hardware provision to becoming a digital services company.

Tsuruta concluded, ‘The immediate challenge is to launch natif.ai’s technology in Japan. By collaborating, we will continue to shape the future of work.’
